Assistant To Director UK (m/f/d)

Your contribution will be

  • Providing high-level support to the Director UK to ensure their agenda, priorities and objectives are met, including strategic diary and inbox management as required
  • Managing the Director’s briefings, commission and coordination from colleagues across the organisation to ensure that the Director UK is fully briefed for all meetings and travel
  • Coordinating and collating content for monthly reports, quarterly reports, including collation of submissions from various teams and other reporting as required
  • Ensuring the Senior Management Team meetings are effectively organised and minuted and all follow-up actions are completed, applying the same process to other meetings as required
  • Planning and monitoring the cost centre of the Director UK and submitting all expense reports and receipts
  • Organising, scheduling, preparing for appointments and meetings and planning business trips travel and booking travel arrangements as required
  • Organising, scheduling and preparing papers for FOUR PAWS UK Board meetings
  • Attending and taking meeting minutes and summarising minutes to the Director as required
  • Providing project support to Director UK for both UK and International led initiatives and activities to achieve key results identified in the FOUR PAWS Strategy 2025 and conduct research as and when required


Your profile ideally illustrates

  • Experience as an Executive Assistant or Personal Assistant supporting C-Suite level executives or Directors
  • Dynamic, proactive, and motivated self-starter with growth potential
  • Experience of complex diary management, international travel planning, and demonstrable experience of office-based administrative work
  • Highly IT literate and confident with Microsoft Word, PowerPoint, Outlook, and Excel, and conferencing software such as Microsoft Teams and Zoom
  • Experience of organising and prioritising own workload on a day-to-day basis and being adaptable and responsive to changing needs
  • Excellent interpersonal and organisational skills and team co-ordinator
  • Ability to exercise discretion with sensitive information and always maintain confidentiality
