We are seeking a dynamic and experienced team coordinator to join our Engagement Department and support our external relations (media engagement, ambassador relations and external stakeholder management), digital engagement, strategic communications, research and investigations, and animal health and husbandry functions. You’ll play a vital role in a complex, global organisation during an exciting time in our evolution, ensuring we deliver integrated audience-focused engagement strategies by coordinating activity not only within our department but also with our campaigns, advocacy, fundraising and creative teams.
As team coordinator, your role is essential in driving collaboration and effective communication, ensuring that all stakeholders are working toward shared objectives. This pivotal role helps bridge gaps, promoting the smooth exchange of information and resources to boost team synergy.
Your contribution will be
- Providing administrative, operational and organisational support to the Engagement Director and wider department (30+ staff members)
- Supporting and monitoring projects and other departmental activity by researching and preparing briefs, summaries, reports, presentations and statistics
- Maintaining CRM and other databases, department and organisation-wide events calendars, and other shared activity planning and delivery tools
- Liaising with external vendors and suppliers to ensure cost-effective and timely delivery of services and materials; supporting the procurement process by organising bids and helping prepare contracts
- Facilitating inter-departmental and cross-departmental meetings according to the FOUR PAWS facilitation framework
- Organising team and other events, workshops, and training sessions, including the booking of venues and preparing materials
- Ensuring the department standard documents, templates, policies and procedures are tracked and updated, while serving as the first point of contact for their creation and revision
- Maintaining and updating shared internal knowledge hubs, best practice guides, or FAQs to support team learning and development
- Promoting open communication, inclusivity, and conflict resolution within the team, supporting a positive and productive work environment
Your profile ideally illustrates
- Several years of experience in an administration and coordination role, ideally within an international charity communications, social change campaigning, marketing, brand, creative and/or research setting
- Familiarity with communications, marketing, brand, creative and/or research tools and concepts such as media, social media and influencer intelligence and analytics tools; content and events calendars; brand and market research surveys; research methods and techniques
- Fluent spoken and written English language skills; additional language skills are a plus
- Proficiency in relevant software, mainly within the Microsoft 365 suite, e.g. maintaining CRM and other databases, using PowerPoint and other design tools, using Excel and other tools for project and budget management, etc.
- Excellent communication and interpersonal skills, including diplomacy, patience and tenacity; familiarity with working within an international environment
- Proven ability to manage multiple tasks, schedules, and deadlines in a fast-paced environment; strong organisational and time-management skills, with attention to detail

- The yearly gross salary range for this position is GBP 44,000 - GBP 48,500 (full-time base) according to our internal compensation scheme
